  • How do i change my address?

    To change your registered address on your security holding and you are Issuer Sponsored, you can update your details by doing the following:
     
    Visit our InvestorOnLine facility.
     
    If you are CHESS Sponsored (Broker Sponsored) please contact your broker.

  • How do i change my name?

    All name changes to your Issuer Sponsored Holdings must be received in writing, please forward your request with the following information to:

    The following information is required:

    • The company in which you hold your shares
    • Your Share Holder Reference Number (SRN) for your holding
    • Your new full registered name
    • Your signature in your new name
    • The required documentation as listed below:

    - Marriage: Marriage Certificate
    - Divorce: Marriage Certificate AND Decree Nisi
    - Return to maiden name (divorce not necessary): Marriage Certificate and Change of Name Statutory Declaration form
    - Other name change reasons: Certificate of Change of Name or Amended Birth Certificate
    - Company name change: Certificate of Registration of Change of name

    Please note all supporting documents must be an original certified photocopy. Some examples of people who are authorised by the state to certify your document copy are:
    - Chartered Accountant,
    - Solicitor,
    - Police Officer,
    - Justice of the Peace,
    - Pharmacist,
    - Doctor
    The certification must state the document is a true copy of the original, and the certifier\'s original signature and title. If a minor change in the name is to be made (i.e. to correct spelling or add a middle name), please download and complete a Name Correction Request & Indemnity form and forward to:

    If your securities are maintained by a broker (broker sponsored) please return the name change letter and documentation to your broker for processing.

    Please note, we cannot accept a fax or email of the letter and documentation as original signatures are required.

  • How do I add my banking details to my holding?

    To check and update your current banking instructions visit our InvestorOnLine facility. Log on and from your portfolio view you may see your already lodged banking details. If these details are not showing you can select update details/preferences, select payment details and then update your current direct credit instructions and click confirm.

  • What is a Dividend Reinvestment Plan (DRP) and how do I check my status?

    A plan which provides for automatic reinvestment of shareholder dividends in more shares of a company's stock, often without commissions. Some plans provide for the purchase of additional shares at a discount to market price. Dividend reinvestment plans allow shareholders to accumulate stock over the long term using dollar cost averaging. The DRP is usually administered by the company without charges to the holder.

    Visit our InvestorOnLine facility to check the status of your dividend reinvestment plan participation online. Log on and from your portfolio view, select update details/preferences, select Dividend Reinvestment Plan and update your DRP instruction, click confirm.

    To check if the company in which you hold a security offers a DRP and you wish to participate, please contact Automic Registry Services on +61 (0)2 9698 5414 for documentation.

    If you are simply wishing to alter your participation level or withdraw from a DRP, please send a fax or letter to Automic stating the alteration as well as the name of the company you hold a security in, your name and your holder number (SRN/HIN).

  • I would like to receive information from the company I'm invested in, how does this happen?

    Many companies managed by Automic offer a service where investors may receive Annual Reports, Notice of Meetings, Newsletters and other company information by way of email. If the company you have invested in has this option, you can register by updating your email address through our InvestorOnLine facility.

  • How do I record/change my Tax File Number

    Visit our InvestorOnLine facility and select update your details/preferences where you can add your TFN online.

  • Consolidate Holdings

    If you currently have different holdings within the same Company under the same registration name, you may want to amalgamate these into the one holding. To action this instruction please download the Consolidation of Holdings form and forward to Automic. Please note your registration details must be exactly the same on all holdings.

    To change your address, visit our InvestorOnLine facility.

    To make a name correction, please download and complete the Name Correction Request & Indemnity Form and forward it to Automic together with your Consolidation of Holdings form.

  • Power of Attorney (PoA)

    If you are signing under Power of Attorney or wish to lodge your Power of Attorney then a certified copy of the original needs to be sent to us along with a letter stating the name and holder numbers for each company it applies to. You must also state that you wish to have the PoA noted for each holding.

  • How do I buy and sell my shares?

    If you want to buy and sell shares you will need to do this through a broker. To find a broker visit the ASX website www.asx.com.au

  • Deceased Estate Requirements for Australian Residents

    1. CHESS SPONSORED HOLDINGS

    Upon notification of death of a CHESS Sponsored holder, the Broker must be notified. All proceedings and actions must be under taken by them. Visit the ASX website to find a broker www.asx.com.au


    2. ISSUER SPONSORED HOLDINGS
    • What we require:

      • • Originally certified copy of Probate or Letters of Administration

        • • Where the market value of the securities as at the date of death is A$25,000 or less, consideration will be given to waiving the need for a Grant of Probate or Letters of Administration.

          • If the requirement is waived, the executor(s), or administrator(s) or solicitors would need to produce:

          Note: If the deceased has not left a Will then you will also need to produce an Intestate Statutory Declaration & Indemnity form.

        Section 1071B Statement where shares are held on a different register to where Probate has been granted (Photocopies/faxes are not accepted).

        • If the name of the deceased on the issuer sponsored statement (SRN) differs from the name of the deceased on the Probate document or Letters of Administration, an original Statutory Declaration signed by the Executor/s is required stating that “name on shareholding is one and the same person as name shown on Probate document or Letters of Administration”.

        • Issuer statements or confirmation of valid SRNs.

    • 2.2 To transfer shares to the Executors and/or any beneficiary(ies) or buyer(s)

      In addition to meeting the requirements set out in section 2.1 above, we require:

      • • A Transmission Application – only required if the securities are being placed in the Executor(s) name for later distribution to the beneficiary(ies) or buyer(s)

      • • An Automic Standard Transfer Form

        • o If transferring directly from the Estate to the beneficiary(ies) or buyer(s); or

        • o If transferring from the Executor(s)/Administrator(s) to the beneficiary(ies) or buyer(s).

      • Notes:

        When lodging a Standard Transfer Form, please take note of the identity requirements noted on the reverse of our form.

        • Holdings cannot be transferred to a CHESS holding (i.e. a HIN) during this process.

    • 2.3 Death of a Joint Holder:

      What we require:

      • • Originally Certified copy of the Death Certificate

      To transfer shares to the Surviving holder and/or any beneficiary(ies)/executor(s)/buyer(s)

      Notes:

      When lodging a Standard Transfer Form, please take note of the identity requirements noted on the reverse of the form.

      • Holdings cannot be transferred to a CHESS holding (i.e. a HIN) during this process.


    3. CERTIFICATION OF DOCUMENTS – CERTIFIED SIGNATORIES

    In Australia, the following people are authorised to certify documents:

    • Health professions: Chiropractor, Dentist, Medical practitioner, Nurse, Optometrist, Pharmacist, Physiotherapist, Psychologist

    • • Legal professions: Legal practitioner, Patent attorney, Trademarks attorney

    • • Court positions: Bailiff, Justice of the Peace, Judge, Magistrate, Registrar, or Deputy Registrar, Clerk, Master of a court, CEO of a Commonwealth court

    • • Commissioner for Affidavits, or Commissioner for Declarations (dependent on jurisdictions)

    • • Government representatives (elected): Federal, State or Territory or Local

    • • Public servants: Federal, State or Territory or Local – employed for five years or more.

    • • Permanent employees of the Australian Health Practitioner Regulation Agency

    • • Bank officer, building society officer, credit union officer, finance company officer – employed for five years or more

    • • Veterinary surgeon

    • • Accountant (member of ICA, ASA, NIA or CPA, ATMA, NTAA)

    • • Minister of religion, or marriage celebrant


    • Member of:

      • • Chartered Secretaries Australia

      • • Engineers Australia, other than at the grade of student

      • • Australian Defence Force (an officer; or a non-commissioned officer with 5+ years of continuous service; a warrant officer)

      • • Australasian Institute of Mining and Metallurgy

    • • Notary public

    • • Holder of a statutory office not specified in another item in this Part

    • • Police officer

    • • Sheriff or Sheriff’s officer

    • • Teacher (full-time) at a school or tertiary education institution

  • Deceased Estate Requirements for Overseas Residents

    1. CHESS SPONSORED HOLDINGS

    Upon notification of death of a CHESS Sponsored holder, the Broker must be notified. All proceedings and actions must be under taken by them. Visit the ASX website to find a broker www.asx.com.au


    2. ISSUER SPONSORED HOLDINGS

    What we require:

    • • Certified copy of Probate or Letters of Administration. Consideration will be given to waiving the need to resealing Probates or Letters of Administration for proclaimed overseas countries (United Kingdom and New Zealand) where the market value of the securities as at the date of death is A$15,000 or less. The executor(s), or administrator(s) or solicitors would need to produce the following documents:

    • Section 1071B Statement where shares are held on a different register to where Probate has been granted (Photocopies/ fax not accepted).

    • • If the name of the deceased on the issuer sponsored statement (SRN) differs from the name of the deceased on the Probate document or Letters of Administration, an original Statutory Declaration signed by the Executor/s is required stating that “name on shareholding is one and the same person as name shown on Probate document or Letters of Administration”.

    • • Issuer statements or confirmation of valid SRNs.


    2.2. To transfer shares to beneficiaries or Executors
    • • Executors to deal directly with the Automic Registry Services

    • • Transmission Application

    • • If transferring from estate SRN to executors/beneficiaries HIN, we require the same documents as in 2.1 above together with signed Transfer Form for Non-Market Transactions.

    • Section 1071B Statement forms are not required if transferring from issuer to CHESS

  • 2.3. Death of a Joint Holder:

    What we require:

    • • Certified copy of Death Certificate

  • 2.4. To transfer shares to beneficiaries or Executors
    • • Executors to deal directly with Automic Registry Services if the survivor/s are not sponsored

    • • To transfer from a joint SRN to the survivor’s HIN, we require an original Request to Register Surviving Holders form and a certified copy of the Death Certificate

  • 2.5. Certified Signatories

    Outside Australia, the following people are authorised to certify documents:

    • • Justice of the Peace

    • • Notary public

    • • Australian Consular Officer or Australian Diplomatic Officer (within the meaning of the Consular Fees Act 1955)

    • • Employee of the Commonwealth or the Australian Trade Commission who works outside Australia.
